We are a dedicated team of over 35 volunteers that dream up, plan and pull off Canada’s largest independently organized TEDx event. We firmly believe Calgary is a great place to spread new ideas, and our audiences show up year after year. Join us on our 11th year of TEDxYYC. 

Did you know that TEDxYYC is entirely powered by the creative energy of volunteers? That’s right! An event like TEDxYYC only comes together with the support of many talented people, with diverse backgrounds and skills.

The combined experience of our team and the grassroots approach to collaboration are what make TEDxYYC so impactful! We know the diversity of talent of our team is a huge asset, giving us the ability to create a memorable event year after year.

We are looking for passionate Calgarians to fill the following roles:

TEDxYYC is an equal opportunity organizations and all walks of life are welcome to be a part of our event. We are looking for minimum one year commitment for the following volunteer positions. 

 

Alumni Coordinator
  • Help curate a list of VIPs for the TEDxYYC event, including community guests and past speakers.
  • Create and send out invitations, track replies and assist with questions.
  • Manage past speakers and VIP’s ticket allotments for the event.
  • Manage past speakers and VIP’s list of information and contact for future events.
  • Ability to communicate clearly and concisely both orally and in writing.
  • Perform related duties and responsibilities as requested by the team leaders.
  • Attend Team meetings as requested (bi-weekly or weekly)
  • Time commitment: approximately 3 hours per week
Volunteer Coordination
  • Build and oversee a team of volunteers for the purposes of providing a top quality experience to all participants on the day of the event.
  • Help with recruitment, onboarding, and process of new volunteers.
  • Developing and implementing community building strategies for volunteers.
  • Works with the committee to identify how many day-of volunteers we need for a successful event
  • Manages applications for volunteers and communicates with those chosen as to rules & regulations, and expectations.
  • Meet all event-day volunteers early on the morning of the event to give them a tour of the venue and communicate the plans for the day.
  • Manage all event-day volunteers and make sure their needs are met (ie. lunch is provided).
  • Give clear directions to all volunteers on event day.
  • Works closely with: Lobby Experience, Experience Team, etc. 
  • Ability to communicate clearly and concisely both orally and in writing.
  • Perform related duties and responsibilities as requested by the team leaders.
  • Attend Team meetings as requested (bi-weekly or weekly).
  • Time commitment: approximately 3-5 hours per week until the end of June, 2022. Must be able to attend the day of the event: Date TBD (June 2022).

Qualifications:

  • Previous experience volunteering or recruiting is an asset.
  • Strong relationship building experience. 
Guest Services/Ticketing Coordinator
  • Help curate a list of VIP’s for the TEDxYYC event including potential partners, community guests, and past speakers.
  • Create invites for VIP’s and invitations sent out.
  • Create and deliver invites for Partners and VIP tickets.
  • Set up and run the ticketing platform.
  • Manage and attend to Guest Services’ email account.
  • Manage Partner Ticket allotments for TEDxYYC event.
  • Works closely with: Experience Team, Partners Team, Leadership Team etc. 
  • Ability to communicate clearly and concisely both orally and in writing.
  • Perform related duties and responsibilities as requested by the team leaders.
  • Attend Team meetings as requested (bi-weekly or weekly).
  • Time Commitment: Less than 10 hours/month until the end of June, 2022.
Student Experience Coordinator (x2)
  • Help with student recruitment and process for the Student Breakfast Party.
  • Manage applications for the Student Experience segment with those chosen as to rules & regulations, and expectations.
  • Develop and implement a student networking  and/or competition segment.
  • Work closely with: Student Experience Coordinator, Experience Team Leads, etc.
  • Ability to communicate clearly and concisely both orally and in writing.
  • Perform related duties and responsibilities as requested by the team leaders.
  • Attend Team and Leadership meetings as requested (bi-weekly or weekly).
  • Time Commitment: 3-5 hours per month until the end of June, 2022. Must be able to attend the day of the event: Date TBD (June 2022).
Lobby Activation Coordinator (x2)
  • Assist in the procurement of lobby activations by working with the Sponsorship Team and Experience Team to identify potential participants.
  • Communicate with participants to ensure they feel confident and included in the event execution.
  • Develop and coordinate lobby activation floorplan with the venue contacts to optimize attendee experience.
  • Assist with the implementation of strategies to improve participants’ experience for the event.
  • Troubleshoot any concerns that arise for participants or the venue during the event.
  • Ability to communicate clearly and concisely both orally and in writing.
  • Perform related duties and responsibilities as requested by the team leaders.
  • Attend team meetings as requested (bi-weekly or weekly)
  • Time commitment: 5-10 hours of volunteer time per week from now until the end of June 2022. Must be able to attend the day of the event: Date TBD (June 2022).

Qualifications:

  • Previous large event experience is an asset.
  • Previous venue management experience would be considered an asset.
  • Strong relationship building experience required.
  • Ability to maintain an organized and professional attitude when working an event is necessary.
Food & Beverage Coordinator (x2)
  • Work with the venue and activation participants to procure and execute food and beverage options for all TEDxYYC events including the Launch Party, TEDxYYC Main Event, and After Party.
  • Be the subject matter expert on navigating food and beverage rules and regulations with the venue and Alberta Health Services.
  • Assist with the implementation of strategies to improve attendee’s experience for the event(s).
  • Troubleshoot any concerns that arise during the event(s).
  • Ability to communicate clearly and concisely both orally and in writing.
  • Perform related duties and responsibilities as requested by the team leaders.
  • Attend team meetings as requested (bi-weekly or weekly)
  • Time commitment: 5-10 hours of volunteer time per week from now until the end of June 2022. Must be able to attend the day of the event: Date TBD (June 2022).

Qualifications:

  • Previous food and beverage experience is an asset.
  • Knowledge of AHS rules around food and beverage, or desire to learn, is required.
  • Ability to maintain an organized and professional attitude when working an event is necessary.
Launch Party Coordinator (x2)
  • Help curate and execute the vision for the TEDxYYC Launch Party preceding the main event.
  • Work with different TEDxYYC teams to help bring the event to life including procurement of the event, entertainment, and decor.
  • Troubleshoot any concerns that arise during the event(s).
  • Ability to communicate clearly and concisely both orally and in writing.
  • Perform related duties and responsibilities as requested by the team leaders.
  • Attend team meetings as requested (bi-weekly or weekly)
  • Time commitment: 5-10 hours of volunteer time per week from now until the end of June 2022. Must be able to attend the day of the event: Date TBD (June 2022).

After Party Coordinator (x2)
  • Help curate and execute the vision for the TEDxYYC After Party following the main event.
  • Work with different TEDxYYC teams to help bring the event to life including procurement of the event, entertainment, and decor.
  • Troubleshoot any concerns that arise during the event(s).
  • Ability to communicate clearly and concisely both orally and in writing.
  • Perform related duties and responsibilities as requested by the team leaders.
  • Attend team meetings as requested (bi-weekly or weekly)
  • Time commitment: 5-10 hours of volunteer time per week from now until the end of June 2022. Must be able to attend the day of the event: Date TBD (June 2022).

  • Previous large event experience is an asset.
  • Strong organizational skills required.
  • Ability to maintain an organized and professional attitude when working an event is necessary.

 

Health & Safety Coordinator
  • Work with the venue(s) to ensure all health and safety regulations are being followed for all TEDxYYC events including the Launch Party, TEDxYYC Main Event, and After Party.
  • Be the subject matter expert on navigating and adhering to the rules and regulations with the venue and Alberta Health Services.
  • Assist with the implementation of strategies to improve attendee’s experience for the event(s).
  • Troubleshoot any concerns that arise during the event(s).
  • Ability to communicate clearly and concisely both orally and in writing.
  • Perform related duties and responsibilities as requested by the team leaders.
  • Attend team meetings as requested (bi-weekly or weekly)
  • Time commitment: 5-10 hours of volunteer time per week from now until the end of June 2022. Must be able to attend the day of the event: Date TBD (June 2022).

Qualifications:

  • Previous health and safety experience is required.
  • Ability to maintain an organized and professional attitude when working an event is necessary.
Social Media Coordinator
  • Oversees all TEDxYYC social media accounts. Develops engaging, creative, innovative content for regularly scheduled posts, which enlighten audiences and promotes the TEDxYYC brand in Calgary and beyond.
  • Works directly with the Head of Marketing and Communications and closely with all teams.
  • Develop and maintain social media strategy and calendar
  • Oversee all TEDxYYC social media channels (Facebook, Twitter, LinkedIn, Instagram, YouTube etc.)
  • Coordinate social media team’s efforts
  • Promote annual event and increase tickets sales through dynamic and engaging posts, contests and sales
  • Direct traffic to website, YouTube channel and community partner pages
  • Respond to questions and comments on these channels
  • Time Commitment: 12- 20 hours/month

 

Qualifications:

  • Previous experience managing social media accounts
  • Previously developed social media plans / calendars
